Role Description

This is a full-time, on-site role based in West Chicago, IL. This position combines two roles: communication coordinator and administrative assistant. The Communications Coordinator will serve as a key liaison between the K-8 school district, staff, families, students, and the broader community. This role is responsible for developing, implementing, and coordinating internal and external communications strategies to highlight student and staff achievements and foster strong community engagement. The ideal candidate is a skilled communicator who can create clear, engaging content across multiple social media and newsletter platforms, while supporting the district's mission and vision. The Administrative Assistant will support the Director of Student Services with administrative tasks related to special education, state reporting, early childhood, 504 compliance and McKinney-Vento guidelines. This position will also require tasks related to student records, attendance, and registration.

Essential Duties and Responsibilities

  • Develop and execute a comprehensive communications plan aligned with the district's strategic plan, mission, vision, profile of a graduate, and core values.
  • Lead a Communications Committee to facilitate continuous improvement of communication strategies.
  • Manage and maintain the district's website and social media channels (Facebook, LinkedIn, Twitter/X, etc.), including content creation, posting schedules, audience engagement, and performance analytics .
  • Coordinate the creation and distribution of district-wide communications, including newsletters, emails, parent updates, and crisis communications.
  • Coordinate photography, videography, and graphic design needs for publications, social media, websites, and special events.
  • Ensure all content posted on district social media is aligned with the district brand, appropriate for our district audience.
  • Maintain mailing lists, contact databases, and distribution systems for district communications.
  • Respond to comments, messages, and mentions by others within 24 hours.
  • Data entry/documentation at the direction of the Director for Student Services, including: State Reporting, Student Registration, Residency Verification, and Scheduling IEP/504 Meeting.
  • Coordinate Student Services parent communication via ML program letters and IEP legal conference requirements.
  • Coordinate transportation services for students with special needs.
  • Coordinate transportation services for McKinney-Vento students.
  • Complete ordering and generate purchase orders.
  • Schedule interpretation and translation requests.
  • Perform other duties as assigned to support district communications and student services goals.

Required Qualifications

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills with strong editing/proofreading abilities.
  • Proficiency with digital tools and platforms, including website content management systems, social media management tools, Microsoft Office/Google Workspace, and email marketing platforms.

Preferred Qualifications

  • Experience in office roles requiring organization and management.
  • Experience working in a K-12 school district or educational setting.
  • Knowledge of K-8 educational programs, issues, and stakeholders.
  • Knowledge of ISBE IWAS Systems.
  • Degree in Communications, Journalism, Public Relations, Marketing, English, or a closely related field.

Salary Range

$50,000-$60,000 - compensation level commensurate with experience.
