JOB SUMMARY:
This position serves as a member of the Administrative Services Team. He/she is responsible for assisting the Library Director in library-wide planning, decision making, and execution of facility management to create and maintain a clean and healthy working environment for patrons and staff.

SUPERVISORY RESPONSIBILITIES:
This position supervises the Maintenance Assistant.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Assist Library Director in planning and coordinating building related activities.
- Oversee the daily operations of the facility, ensuring all areas are kept clean, secure, and well-maintained.
- Ensure the proper maintenance of the library facility and building equipment. Negotiate with vendors for service. Manage and review annual contractual services to inform the budget process.
- Analyze energy consumption; evaluate, assess, and propose alternatives to reduce operational costs.
- Perform supervisory duties requiring adherence to standards of accuracy, timeliness, tact, and confidentiality in the daily operations of the facility. Complete necessary performance assessment of the Maintenance Assistant.
- Coordinate quarterly maintenance inspections with the Maintenance Assistant. Monitor routine cleaning and repair schedules to ensure proper maintenance within the library and the exterior grounds and building structure and systems.
- Maintain files of all vendor maintenance and service contracts, agreements, repairs, and an automated inventory of Library equipment and furnishings.
- Oversee, and on occasion perform, setup of space for programs, events, or meetings.
- Assist with execution of the emergency plan and disaster plan and the coordination of safety drills.
- Assist the Library Director with special projects, as needed.
- Perform other duties as assigned.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Attend all relevant meetings, training sessions, workshops, conferences, and library functions, as needed or requested.
- Plan and organize multiple work activities to effectively meet deadlines.
- Establish and maintain effective working relationships with those contacted in the course of work.
- Participate in the development of reports, policies, and recommendations
PHYSICAL/MENTAL REQUIREMENTS:
- Requires sitting, standing, stooping, bending, sometimes for extended periods of time
- Ability to lift and move items up to 50 pounds, sometimes repetitively
- Ability to communicate effectively, both verbally and in writing and exchange accurate information with staff, vendors, and library patrons
SKILLS:
- Demonstrated interpersonal and communication skills and professionalism to create positive interaction with patrons, staff, and vendors
- Proficiency with office productivity software (MS Office or similar), basic Internet applications, and mobile apps
- Ability and willingness to learn new skills or technologies as requested or needed
- Ability to effectively and efficiently operate basic office machinery (computer, printer, copier, telephone, fax machine, etc.)
